NOTES:
Updates the selected registrations to the current team/division cost. This adjusts the platform fee and re-spreads any remaining scheduled payments.
The Division or Team Cost must be adjusted prior to doing these steps.
The most recent invoice is updated when a registration has more than one.
Locked, canceled, or waitlisted invoices are skipped.
Lowering a cost below what has already been paid gives you the option to credit or refund the difference, covered in step 8 below.
A maximum of 20 registrations can be updated at once.
Sign in to a PlayerFirst website.
On the left navigation, click Program > Registration Details.
Click your desired Program.
Click on the Divisions tab in the sub navigation.
Select the desired division(s).
To view the registration information for multiple divisions, click the checkbox next to the name of each division you'd like to view.
Click the More Options button > Show Selected Divisions OR Show All Divisions.
On the Details tab, use the checkbox column on the left to select the registrations that have invoices that need to be updated. Once selected, click the Dollar button at the top of the table.
On the Update Registration Costs page, review the information in the table.
Original Cost / New Cost: the current invoice amount and the latest team/division cost it will be updated to, including any applicable fee changes.
Needs new scheduled payment: checked automatically when the invoice has no remaining scheduled payments, meaning a new one must be added.
Scheduled Payment Date / Amount: for rows that need a new scheduled payment, enter a date (today or later) — the amount is calculated for you.
Credit/Refund Amount: if lowering the cost leaves the invoice overpaid, this shows how much will be credited or refunded.
Credit/Refund: choose what to do with that amount — Credit, Refund, or None (leave on invoice). Which options you can choose from depends on your role's permissions.
Email Account Holder: checked by default; uncheck it if you don't want that family notified of the updated invoice.
Enter a Memo explaining why this cost is changing.
This memo may be visible to the registrant — it's included in the account holder's email as "Note from the administrator," saved to the invoice's admin notes, and stored as the note on any account credit it creates. It's limited to 500 characters.
Click Save.
On the Registration Costs Updated confirmation page, review the results table, or click Back to List to return to the Divisions page.
NOTE: If any selected registrations couldn't be updated (for example, a cancelled or locked invoice), they'll appear in a separate Excluded Registrations table.
NOTE: A credit or refund is only offered when the invoice as a whole is overpaid by the change — not based on this specific registration's own allocation. If your role doesn't have permission to create a credit or process a refund, you'll instead see a message that a credit/refund is due and needs to be handled by opening the invoice directly.
NOTE: If the registration had a discount or scholarship larger than its new cost, that surplus is retired first — the Credit/Refund Amount only reflects what's left after that, not the full difference.
NOTE: If multiple selected registrations share the same invoice, only the first shows the actual Credit/Refund Amount — the others show "Included in the [amount] account credit on invoice [number]" instead of repeating it, since the overpayment is only settled once per invoice.
