How to Create, Copy, Edit, and Delete a Program

A program holds everything for a single offering, such as a tournament, season, camp, or tryout. You can build a new program from scratch, copy one you've already set up, edit its settings, or delete a program that hasn't been used.

📌 Best Practices

Before you create the program

  • Is this a program that runs year over year? If yes, copy last year's program with Next year's version of a prior program so the dashboard and reports can compare the program's registration over the years.

  • If the program is new or only loosely based on another one, use A new program from scratch or A new program based on the copy of a prior program.

When you copy a program

✅ Do

❌ Don't

Re-enter every date: registration open/close, check-in, and division dates

Don't open registration before reviewing dates (most are cleared by the copy)

Answer the insurance questions again

Don't expect insurance answers to carry over from the original

Update Display Year if it should change

❓ FAQs

What gets copied when I copy a program?

  • Copied: the divisions you select (with their settings, prices, and capacity), division age and experience requirements, division and program registration questions, form-fill waivers, public pages, seasons, position goals, program-level pricing, waiver text, roster agreement and confirmation text, and program email text.

  • Not copied: teams, rosters, add-ons, program products, payment plans, discounts, service fees, email campaigns, team document types, locations, directors, images, and the Leagues & Tournaments link.

  • Cleared: the description, internal notes, approvals, external platform IDs, and most dates, including division dates.

  • Kept as-is: Display Year stays the same as the original program, even if you enter a new Fiscal Year.

Why can't I delete my program?

A program can't be deleted if it has one or more purchases, or if it's the Associated Program on a product that has one or more purchases.
