[COMING SOON] How to Give a Refund, Manage Allocations, and Follow-Up

When you refund a payment on an invoice, you'll now be guided through allocating the refund and choosing what happens next — instead of having to remember those steps yourself.

Overview

  1. Start the refund — from the payment on the invoice.

  2. Choose what happens after refunding — prorate, schedule a makeup payment, or nothing.

  3. Confirm the refund's allocation — the same allocation window used for reversing an adjustment.

  4. Review the closing warning — a reminder shown after every refund.

1. How to Start a Refund

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click Sales, then open the invoice with the payment you want to refund.

  3. Next to the payment, click Refund....

  4. Enter the Amount, Method, and Description for the refund.

2. How to Choose What Happens After Refunding

  1. In the Create Refund panel, set After Refunding:

    • Add a prorate — apply a prorate equivalent to the refunded amount.

    • Schedule makeup payment — schedule a payment for the refunded amount.

    • Do nothing — take no further action.

  2. Click Process Refund.

NOTE: After Refunding is required — except when the refund is fully covered by an overpayment rather than an actual refund. In that case, the field is disabled and shows "No further action is needed when refunding an overpayment." It's automatically treated as Do Nothing in that case, even if something else was selected before the refund became overpayment-only.

3. How to Confirm the Refund's Allocation

  1. Clicking Process Refund opens the allocation window — the same one you'd see when reversing an adjustment.

  2. If you're refunding a payment in full, the allocation is pre-filled to reverse it from wherever it was originally allocated. Check the Total and Remaining amounts at the top.

  3. Adjust the Applied amount on any line in the item table if you need a different allocation than what's pre-filled.

  4. Click Save.

4. What Happens After the Refund

Once the refund and allocation are saved, a Warning dialog appears: "There is [amount] left on the invoice. Ensure all necessary adjustments are made before exiting the invoice." Click Continue to close it.

NOTE: This warning appears after every refund, regardless of whether anything actually still needs attention — treat it as a standard reminder to double-check the invoice, not necessarily a sign something went wrong.
