How to Create a Tryout Program

Step 1: Creating the Program

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click Program > Registration Details.

  3. To the right of the Search Programs bar, click the + Button.

  4. Program Basis:

    • Next year's version of a prior program.

    • A new program based on the copy of a prior program.

    • A new program from scratch.

  5. What platform handles registration?

    • Select PlayerFirst.

  6. Insurance Questions

    • Enter the number of days an athlete will be participating in the program.

    • Select whether or not the program includes athletes participating in sports.

      • Select Yes.

    • Select whether or not the program is sanctioned by a 3rd party.

      • Select No.

  7. Details

    • Program Name: Enter the name of the program you are creating.

    • Classing: Select the financial class that corresponds with the program you are creating.

    • Service Start/Service End: This should be the dates when you start servicing your Club teams - not the start of tryouts.

    • Fiscal Year: Add the fiscal year for the program.

    • Start/Stop Showing: Add the date range you want to program to be public.

      • Ensure the Stop Showing date is the last possible day for your club season to ensure everything remains visible throughout the season.

    • Time Zone: Select the time zone for where your program will be held.

  8. Click Create Program.

Step 2: Editing Your Program Settings

The below fields need to be updated/checked specifically for tryouts. There may be other fields that may not be listed below that will need to be edited/modified to complete your program setup.

Basics Tab

Tryout Cost

Tryout Cost not including fees.

The Division and Team Tryout Cost will override what is inputted in this field.

Total Tryout Cost

Tryout Cost including fees.

Program Cost

Enter the lowest team cost that you will be offering. Division and Team costs will override what is inputted in this field.

Scores and Schedules

Enable this field.

Manager Preview

Enable this field.

Roster Privacy

This should be set to Hidden to start. After the roster acceptance period, this will need to be updated to Visible to Same Team or Public.

Registration Tab

What Needs to be Done

List Publicly

Ensure this is set to Public Registration.

Tryouts

Ensure that the Include Tryout Registration field is enabled, and stays enabled - even after tryouts have passed.

Start Accepting Rosters

Enter the date roster acceptance will begin. To play it safe, you can make this date earlier than the date you're expecting acceptance to begin.

Start Showing Tryouts on Website

The date and time when this program will be viewable on the website via public or private link.

Tryout Label

This field will replace the "Register" button text on the registration page.

EX: Tryout Registration, Apply, etc.

Program Director(s)

Accounts that are added here will have visibility to all Teams and Team Chats on the Club App, without having to add them as a coach to each team.

Reporting Tab

Tryout Year, Season, Start, End

Fill out these fields based off your tear sheet.

Waivers Tab

Add any waiver questions that you want asked during either tryout registration, or roster acceptance.

NOTE: If you have questions that are consistently asked throughout your brand, update your site's Profile Optionality. Reach out to your Region or PlayerFirst Support to help do so.

Divisions Tab

Teams Public After

The date needs to be set in the past.

Start Accepting Rosters

The date needs to be set in the past.

Override Program Tryouts

Disable tryouts to allow a registration for the full program price.

Once an athlete has accepted, the Override Program Tryout field in both divisions needs to be set to Disable Tryouts in order to move an athlete.
