Merging Accounts and/or Profiles

PlayerFirst supports merging at the account level as well as the profile level. Duplicate accounts are either merged manually by an admin or found automatically by the system.

Note: An account is a login, where at least one profile (but usually multiple) can be under one account. Every profile should belong to a unique athlete or parent/guardian.

Overview

  1. Merge Accounts — combine two separate logins into one, moving everything on the removed login over to the surviving account.

  2. Merge Duplicate Profiles — combine two duplicate person records (the same athlete or guardian) that ended up as separate profiles inside one account.

  3. Review System-Found Duplicates — where PlayerFirst surfaces likely duplicate accounts and profiles for an admin to confirm, instead of hunting for them one account at a time. (Root Admin Only)

  4. What Happens When You Merge — what data moves, what happens to the removed login, and why it can't be undone.

1. How to Merge Accounts

Merging accounts moves all the profiles from 2 separate accounts into a single account. For example, if John and Sarah are in the same family, but their profiles are in different accounts, those accounts can be merged so John and Sarah will be in the same account.

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click User > Users.

  3. In the breadcrumb dropdown at the top of the page, click Merge Accounts.

  4. Search for and select the account you want to remove — this should be the one used less.

  5. Select the account you want to keep as the active one.

    • The merge runs immediately once you select the second account — there's no separate confirmation step, so double-check both selections before clicking.

  6. The page then shows any remaining duplicate profiles on the surviving account under Merge Duplicate Profiles — continue to section 2 below if any of them still need combining.

2. How to Merge Duplicate Profiles

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click User > Users.

  3. Search for the account with the duplicate profiles and click the Eyeball icon next to it to view the account.

  4. Click the Merge Profiles tab.

  5. In the Remove Profile column, select the profile you want to remove.

  6. In the Merge Into Profile column, select the profile you want to keep it merged into.

    • You don't have to make a selection in every row — only fill in the pairs you actually want to merge.

  7. Click Merge Profiles.

NOTE: Data from the source profile will be added onto the destination profile and the source profile will then be removed. The destination profile will keep its contact information and other data, so it should start as the better of the two.

3. How to Review System-Found Duplicates

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click User > Users.

  3. In the breadcrumb dropdown, click Duplicate Users (account-level candidates) or Duplicate Profiles (profile-level candidates within the same account).

  4. Review each listed group, then click Merge on a row to combine it — a confirmation prompt appears first.

NOTE: Duplicate Users and Duplicate Profiles only appear in the dropdown for System Engineer and Root Admin roles. A regular admin only sees Merge Accounts.

4. What Happens When You Merge

Both account-level and profile-level merges work the same way: you pick a source (removed) and a destination (kept), and merging is one-directional and immediate.

  • The source is never actually deleted from the database — it's marked deleted and permanently tagged with a reference to what it was merged into, so it can still be traced later if needed.

  • Nearly everything tied to the source moves over to the destination: profiles, roster registrations, shop/order history, payment methods, saved credit, subscriptions, waiver/document records, staff records, roles, and more.

  • Merging cannot be undone through the product. There's no "unmerge" tool — reversing a merge requires a manual database fix, not a supported workflow, so confirm both sides carefully before merging.
