How to Sync an Exposure Schedule to PlayerFirst

Initial Setup

  1. Log in to your PlayerFirst website.

  2. Copy the Event ID from Exposure (the ID can be found in Exposure or within the URL for your event in Exposure)...

    ...and paste it into the Exposure Event ID field within the Reporting tab of your PlayerFirst Program. Click Save.

  3. Once saved, new options will be displayed under the Exposure Event ID in PlayerFirst. The order these are pressed it is determined by how a schedule is created by a brand in exposure.

    Read the options below before pressing either of the sync buttons.

Best Practices

Before deciding which option is best for your brand, read through the best practices below.

Division and Team IDs

  • Within PlayerFirst and Exposure, Divisions and Teams have unique IDs.

  • Every time a new Division or Team is added on either platform, it is assigned a unique ID.

  • If you need to add more divisions than what is in PlayerFirst in order to schedule...

    • Add the divisions within PlayerFirst and sync to Exposure.

  • If you need to add more teams than what is in PlayerFirst in order to schedule...

    • Add the teams within PlayerFirst.

      • If the Outgoing Updates field is enabled, the teams will automatically be sent to Exposure.

Updating Team Names

  • You CAN update team names in Exposure, if you are just tweaking a team name.

    • EX: 2030 Red Elite changed to 2030 Red

  • You CANNOT update the team name to a completely different team in order to swap schedules.

    • EX: 2030 Red Elite CANNOT be changed to 2030 Kingsmen Silver.

Secondary Locations

  • When adding locations in Exposure, double check that the spelling and punctuation matches the spelling put in for the Secondary Locations in your PlayerFirst program.

Toggling on Incoming or Outgoing Updates

  • When toggling Incoming or Outgoing Updates fields on or off, you must click the Save button at the top of the page. You CANNOT just click the save button to the right of your Exposure ID.

Option 1: PlayerFirst to Exposure Sync

When to Use This Option:

  • If the operator preference is to do all scheduling prep in Exposure, rather than in an Excel (EX: assigning pools).

How to Use This Option

  1. Create your program in PlayerFirst. Allow time for teams to register into the event.

  2. Select the Outgoing Updates to enable it. This will allow any additional teams that are registered in PlayerFirst to automatically be added to Exposure.

    • When toggling the Outgoing Updates field on or off, you must click the Save button at the top of the page.

  3. Once ready to begin scheduling in Exposure, under the PF to Exposure header, press the Send Teams & Divisions to Exposure button.

    • NOTE: If any extra divisions are needed for scheduling they MUST be added in PlayerFirst. If added after you already did the initial sync, add to PlayerFirst and re-sync.

      • EX: If the 2028 division is going to be separated into both 2028 Gold and 2028 Silver for scheduling, add both divisions into the program in PlayerFirst.

      • These divisions can be added in PlayerFirst and set as Not Listed. Setting the divisions as Not Listed will prevent any future customers from registering into them.

  4. Once the schedule is set and in a good spot within Exposure, under the Exposure to PF header, click the Import Tournament Data into PF button. Enable the Incoming Updates field to allow any schedule updates and scoring to automatically be sent to PlayerFirst.

    • When toggling the Incoming Updates field on or off, you must click the Save button at the top of the page.

Option 2: Excel Upload to Exposure, then Exposure to PlayerFirst Sync

When to Use This Option:

  • If the operator preference is to do all scheduling prep in an Excel, rather than in Exposure (EX: assigning pools).

How to Use This Option

  1. Create your program in PlayerFirst. Allow time for teams to register into the event.

  2. As you are becoming ready to begin prepping for scheduling the event, any extra divisions that are needed for scheduling should be added to PlayerFirst.

    • EX: If the 2028 division is going to be separated into both 2028 Gold and 2028 Silver for scheduling, add both divisions into the program in PlayerFirst.

    • These divisions can be added in PlayerFirst and set as Not Listed. Setting the divisions as Not Listed will prevent any future customers from registering into them.

  3. Once the extra divisions are set, you will need to export the event's registration information, and prepare it to be upload to Exposure.

  4. Go to your event's Division Details page.

    • Go to Program>Registration Details, and click on the event name. Above the table, click the More Options button, then click Show All Divisions.

  5. Above the Players table, click the Export button.

  6. The fields needed in the Excel in order to upload are...

  7. Upload the Excel to the Exposure, and build out your schedule.

  8. Once the schedule is set, under the Exposure to PF header, click the Import Tournament Data into PF button.

  9. The Incoming Updates field should be enabled, to allow scoring and schedule updates to automatically send to PlayerFirst.

    • When toggling the Incoming Updates field on or off, you must click the Save button at the top of the page.

How to Check if the Schedule is Pulling Through to Exposure

  1. Log in to your PlayerFirst website.

  2. On the dashboard, go to Schedule>Leagues & Tournaments page.

  3. On the Leagues & Tournaments table, click on the event name that needs to be checked.

  4. On the Edit Tournament page, click on the Timeline tab.

  5. On the Timeline, spot check the schedule that is displaying.

How to Enable Your Event to Display in the Access App

  1. Log in to your PlayerFirst website.

  2. On the dashboard, go to Schedule>Leagues & Tournaments page.

  3. On the Leagues & Tournaments table, ensure that the event has a Green Checkmark in the Schedule Settings.

    • If the Event does not have the Green Checkmark, you just need to click the event name in the table to "activate" the event.

  4. Once confirming the event is "activated" on the Leagues & Tournaments page, go to the Communication>Access App page.

  5. On the Access App page, find your event and click the Pencil button.

  6. On the App Settings page, change the Visibility setting to either Show During Event Dates or Custom Date Range.

  7. Enable the Schedule in PlayerFirst field to ensure the schedule displays in the app.
