How to Send a Roster Spot Acceptance Email to a Team
Sign in to a PlayerFirst website.
On the left navigation, click Team > Team Management.
In the Program search box, select the program that the team belongs to.
In the Division search box, select the division that the team belongs to.
Click the Filter button.
Select Team Management in the sub navigation.
Find the team you want to send tryout acceptance emails to, and under the Actions column, click the Envelope icon.
Choose the recipient list to send the email to:
Recipient List | Definition |
Message All | Message all participants assigned to the team. |
Message Unconfirmed | Message all participants who are yet to accept or decline an invitation to the team.
By choosing this list, you will have a templated email with a roster acceptance link for the participants. |
Message Accepted | Message all participants who have accepted an invite to the team. |
Message Declined | Message all participants who have declined an invite to the team. |
NOTE: Ensure the Start Accepting Rosters field in the division settings of the program are set up, with a date in the past before sending.
Compose Your Email
The filters needed to email this team are automatically set up. Click Next, near the top of the page until you get to the composition page.
On the compose page, you will notice that a default subject and email are already set up. You may change whatever you want to or leave everything as is.
Include recipient's username at end of email: Select this to help families remember to log in to accept their roster spot with correct username.
Click Send Messages to send your invites immediately.
Click Save for Later to save your email for later or to schedule your email to be sent predetermined date and time.
How to Send an Invite to an Athlete After Tryouts Have Closed Who Didn't Register for Tryouts
Notes:
In this scenario, a parent is accepting the roster spot on behalf of the athlete; an invoice is not created until the roster spot is accepted.
If an invite is sent this way, you will need to manually update the Offered column.
Sign in to a PlayerFirst website.
On the left navigation, click Team > Team Management.
Select Program.
Select Division.
Click the Filter button.
Click the Plus button to Add New or Existing Player.
If Existing Player:
Select team.
Search for player name.
Leave jersey number blank.
Click Save.
Click Send Spot Acceptance Invite.
Parent receives and accepts the roster invite, which creates the invoice.
If New Player:
Input required information.
Click Save.
Click Send Spot Acceptance Invite.
Parent receives and accepts the roster invite, which creates the invoice.
How to Send Roster Invite to a Single Player
Note: If an invite is sent this way, you will need to manually update the Offered column.
Sign in to a PlayerFirst website.
On the left navigation, click Team > Team Management.
Select Program.
Select Division.
Select Team.
Click Team Management tab.
Scroll to the right to the Roster column for the desired team.
Right-click Roster and Copy Link Address.
Copy the Link Address into the email being composed for the single player and parent.
Repeat step 9 for any additional player and parent recipients.
Using and Managing the Offered Column
The Offered column will automatically mark Athletes as "Offered" if invites are sent using the communications shortcut described above.
A date will show in the "Offered" column after the invite is sent and saved.
The Offered column can also be edited manually by clicking the Red X or Green Checkmark.
This should be done if invites are sent not using the communication shortcut above.
