1. How to Set Up a Program for GearUp
Sign in to a PlayerFirst website.
On the left navigation, click Program > Registration Details.
Click the Pencil icon next to your desired program.
Click Reporting in the sub navigation.
In the Team Store section, enter the GearUp Team Store Link — the full URL to the team's GearUp store (for example,
example.gearupwithus.com/your-team).This is what allows the individualized store link to be sent to the athlete with their roster ID included.
Click the arrow button next to the field to open the link in a new tab and confirm it's correct.
Enter the GearUp Store ID — the ID GearUp assigns to that store. This is what ties incoming orders back to this program.
Click Save.
NOTES:
The GearUp Team Store Link and GearUp Store ID must be saved together — you can't save one without the other.
Multiple programs can share the same GearUp Store ID if they sell from the same team store.
Once the Store ID is saved, the Email GearUp Player Pack link to athletes button on the Roster Management page becomes available.
2. How to Email Team Store Links to Athletes
Sign in to a PlayerFirst website.
On the left navigation, click Team > Team Management.
Add the Program to the filter, and division/team if necessary, and click Filter.
On the Roster Management tab, select one or more athletes within the table who need to be sent the email.
Click the Message button at the top of the table, then click Email GearUp PlayerPack Link to Athletes.
NOTES:
This button stays disabled until the program has a GearUp Team Store Link saved.
A templated message including the store store link & roster id token will be prefilled. Do not remove the data token or else a generic team store link will be sent to the user. This will lead to an increase in unassigned athletes.
Gear Up store emails can also be sent from the comms workflow. GearUp store data token will be available to add from the compose page.
3. How to Review and Match Orders on the GearUp Orders Page
Sign in to a PlayerFirst website.
On the left navigation, click Team > GearUp Orders.
Use the filters at the top of the page to narrow the list by Brand, purchase date range, Unassigned Athletes (orders with no matching roster spot), or Unassigned Team Stores (team store IDs not yet linked to a program).
Click Filter to apply your selections.
Find an order that needs to be matched. Rows are color-coded:
Red — the order hasn't been matched to a roster spot yet.
Green — the order was just received from GearUp and hasn't been reviewed yet.
In the Program field for that row, start typing to search for and select the correct program.
In the Player field, start typing to search for and select the correct athlete. Results display as
Full Name (Username) (Email). If a Program has already been selected, results are limited to athletes rostered to that program. Otherwise, results are limited to the order's brand.
Click Save.
How to Mark an Order as Reviewed
On the GearUp Orders page, find the order.
In the Reviewed column, click the icon to toggle it — green check means reviewed, red X means new and unreviewed.
Click Save. Use the Notes field on any row for anything that needs manual follow-up.
NOTE: Matching an order to a roster spot marks it Reviewed automatically.
How to View Linked Team Stores
Sign in to a PlayerFirst website.
On the left navigation, click Team > GearUp Orders.
Click the dropdown next to the page title and select Team Stores.
Use the filters at the top of the page to narrow the list by Brand, Sport, or Program.
This page lists every team store GearUp has reported, along with the Brand, Program, and store link for any that have been matched through program setup.
NOTE: If a Team Store ID hasn't been linked to any program yet, the Brand and Program columns will display blank. If more than one program shares a Team Store ID, each program will display as its own row.
4. How to Check Player Pack Status on Roster Management
Sign in to a PlayerFirst website.
On the left navigation, click Team > Team Management.
Add the Program to the filter, and division/team if necessary, and click Filter.
On the Roster Management tab, check the Purchased Player Pack column for each athlete:
Green check — the roster spot has a matching GearUp order.
Red X — no matching order exists, or the program doesn't have a GearUp Store ID configured.
NOTE: This column updates automatically whenever an order is assigned or reassigned on the GearUp Orders page. It cannot be toggled manually.
