How to Track Waiver Completion

Different Ways to Track Waiver Completion in PlayerFirst

PlayerFirst gives you a few different views for checking waiver status, depending on how much detail you need — from a single athlete's status up to program-wide totals.

Program > Waiver Completion

  • Used to check the status of specific athletes within a program.

Program > Waiver Summary

  • This page provides high-level program details, including:

    • Total number of waivers signed.

    • Overall registration counts.

Team > Team Reporting

  • This page provides the most detailed view of an event.

    • See whether a team has uploaded a roster

    • View how many athletes have completed waivers

    • Manage individual athlete status

    • Send reminder emails to athletes who have not yet completed their waiver.

How to Check Waiver Status and Email Reminders to Athletes on the Waiver Completion Page

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click Program > Waiver Completion

  3. Select Waiver State of Incomplete, Complete, or All.

    • To see Athlete's who have not signed the waiver, select Incomplete.

  4. To fine-tune the search, type in any of the following fields…

    • First Name and Last Name: To search for the first and/or last name of the person to whom the waiver belongs.

    • Program: To search for waivers associated with a specific program.

    • Team: To search for waivers associated with a specific team.

  5. Select Either for Purchased Through PlayerFirst.

  6. For Registration Type, select Individual.

  7. Press the Filter button.

  8. Under the Valid column, check for waiver completion.

    • A green check mark indicates a completed and valid waiver.

    • Red x indicates an incomplete waiver.

  9. If there are incomplete waivers found, you may send a reminder email with a link to complete their waiver.

    • Select the checkbox next to the user(s) you want to send the reminder to.

    • Click the More Options button, then Remind Selected.

      • NOTES:

        • You'll see a confirmation showing how many messages were sent.

        • The reminder goes out immediately to the guardian profiles tied to whichever rows are checked — it doesn't re-check each row's waiver status before sending. If a row with a completed waiver is checked, it will still receive a reminder, so filter to Incomplete and only check rows that actually need one.

        • The email is subject-lined "A Waiver is Required to Play" and includes a direct link for that athlete to complete their waiver.

How to View High-Level Waiver Metrics for a Program on thee Waiver Summary Page

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click Program > Waiver Summary.

  3. Use the filters on the top of the page to dictate the programs that are visible on the Program Waiver Completion table.

  4. Review the Program Waiver Completion table for overall counts, like total waivers signed and overall registration counts.

How to use the Team Reporting Page to Monitor Waiver Completion and to Send Waiver Reminders

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click Team > Team Reporting.

  3. On the Teams tab, filter by a Program. Filter by Division and/or Team if you're looking for a specific data set.

  4. Once filtered, the table will display a team within the program on each row. You can check if the team has rostered (the Roster Size column), and how many of those rostered have NOT completed the waiver (the Roster No Waiver column).

  5. Switch to the Rosters tab to view athlete-specific data. The Waiver OK field will show if the athlete has a valid waiver for the program or not.

    • To email a group of athletes a waiver reminder...

      • Use the checkboxes on the left side of the table to select the athletes.

      • Click the Message button at the top right of the table.

      • A modal will display. You can preview the message, or click Yes to send.
