How to Use the Subscription Status Page

Filtering on the Subscription Status Page

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click Sales > Subscription Status.

  3. Use the filters at the top of the page to narrow the list, then click Filter. Available filters include:

    • Sports, Brands (with a "Select All" checkbox), Products, Has Payment Method, Subscriber Account, Subscriber Profile

    • Status — Any, Active, Inactive, or one of the six specific combinations covered below (Active (renewal on) + Paid, Active (renewal on) + Unpaid, Active (renewal off) + Paid, Active (renewal off) + Unpaid, Inactive (renewal off), Inactive (renewal on)). Active and Inactive are shortcuts that return all four Active combinations or both Inactive combinations at once.

    • Plan Change — Any, Upgrade, Downgrade, Cancelled by Upgrade, Cancelled by Downgrade, Renewed, or Renewal Type Change

    • New Sub. Dates, Upgrade Dates, Downgrade Dates, Renews After/Renews Before

    • Grouped By — group results by Associated Program, Product Name, or Plan Name

    • Include History — a checkbox that switches the table to a grouped view (see Viewing Subscription History below)

  4. Use the Subscriptions table to see who is a subscriber to what subscription, a user's latest invoice for a subscription, and more.

    • A row is highlighted red once the subscription's current term end date has passed — this marks it Inactive, regardless of whether renewal is on or off. A subscription that's been cancelled but is still within its paid term stays uncolored until the term actually ends.

    • A row with a pending upgrade is highlighted green, and a pending downgrade is highlighted yellow. If a cancellation takes effect on a row that was previously highlighted for an upgrade or downgrade, red takes over as soon as the cancellation is actually in effect.

    • If a user cancels their own subscription from their account, an admin will also receive an email alerting them of the cancellation.

Reporting Columns

The Subscriptions table includes the following columns for tracking subscription changes over time:

  • Associated Program — the program tied to the subscription, shown to the right of Brand.

  • Plan Change — the subscription event for that row: ↑ Upgrade, ↓ Downgrade, Cancelled by Upgrade, Cancelled by Downgrade, Renewed, or Renewal Type Change. Blank if the row has no history.

  • Changed From and Changed To — for an upgrade or downgrade, these show the previous and new plan. For a renewal type change, they show the previous and new billing frequency. Both are blank for renewals or rows with no history.

  • Change Date — the date the change occurred. Only populated for upgrades, downgrades, and renewal type changes.

  • Add-On — a green checkmark if the subscription's first order was purchased as an add-on to another item, or a red X if it was a standalone purchase. Blank on history rows, and blank for subscriptions that started before this was tracked or that were created by an upgrade.

Note: A normal downgrade doesn't cancel anything — it swaps the plan in place on the same subscription when it renews, so it shows as "↓ Downgrade." "Cancelled by Downgrade" only appears in one case: downgrading to a free ($0) plan, since that effectively ends the paid subscription.

Viewing Subscription History

  1. Check the Include History filter and click Filter.

  2. The table switches to a grouped view. Subscriptions with history show an arrow you can click to expand and see the full change history for that subscription.

  3. Use Grouped By to group the table by Associated Program, Product Name, or Plan Name.

Cancel a Subscription on the Subscription Status Page

  1. Sign in to a PlayerFirst website.

  2. On the left navigation, click Sales > Subscription Status.

  3. Use the filters at the top of the page to filter for specific subscribers, and click Filter.

  4. In the Subscriptions table, find the subscription you wish to cancel. There are two options:

    • Cancel at Term End — only available if the subscription's latest invoice is paid. Click it, then confirm "Do you want to stop automatic renewal of this subscription at the end of the current term?" by clicking Yes. The subscriber keeps access through the end of their current paid term, the Current Term Ends date keeps showing that future date, and it simply won't renew after that.

    • Cancel Immediately — ends the subscription right away and updates Current Term Ends to today's date. This opens a confirmation showing the amount to be credited or removed, and states that no refund is issued for payments already made — if a refund is needed, process it manually. An Email the subscriber about this cancellation checkbox lets you choose whether to notify them. If the subscription's renewal invoice was unpaid, cancelling immediately also clears the platform fee so the invoice settles to $0.00.

Note: Cancelling a subscription from this page does not send an alert email to admins — that email only goes out when a customer cancels their own subscription from their account.

Note: You can still click Cancel Immediately on a subscription that was already set to Cancel at Term End, as long as it still has time remaining in its term. Doing so preserves the original cancellation date and who cancelled it, and simply ends the subscription right away instead of waiting for the term to end.

Understanding the Different Subscription Statuses

  • Active (renewal on) + Paid

    • The subscription is paid for the current term and will renew next period.

  • Active (renewal on) + Unpaid

    • The current term hasn't been paid yet, but the subscription is still within its term and renewal is still on — it will attempt to renew next period.

  • Active (renewal off) + Paid

    • The subscription was paid for the current term, then cancelled. The customer's payment method won't be charged next renewal, and the status will update to Inactive once the current term ends.

  • Active (renewal off) + Unpaid

    • The subscription was cancelled and is still within its term, but the current term's invoice hasn't been paid. Renewal is off, so it will move to Inactive once the term ends — this combination has no screenshot yet.

  • Inactive (renewal off)

    • The subscription was cancelled and its term has ended. It will not be charged again.

  • Inactive (renewal on)

    • The subscription's term has ended but it was never cancelled — typically because the payment method failed and the subscription couldn't renew. Renewal is still on, so the system will attempt to charge it again.
